Terms & Conditions: Witchy Scot Holistic Fayre

We understand that life happens! However, as a small, independent event, we rely on our vendors and hosts to make the Fayre a success.


By applying to and/or booking a space at the Witchy Scot Holistic Fayre, you agree to abide by the following terms. These ensure a safe, magical, and professional experience for all.


1. Booking & Payment

  • Applications: Applications must be submitted by January 6, 2026, at 6:00 PM via the form found on the website.


  • Confirmation: We aim to notify you of your application status (Confirmed, Waitlist, or Not Accepted) by January 7, 2026. The stall fee is £50, payable by the deadline in your acceptance email. Payment must be completed by January 10th to secure your space. Once we receive your payment, we will email you a Media Pack.


  • Curation: We reserve the right to curate the event to ensure a diverse range of products and services. Applying does not guarantee a spot.


2. Stall Holder Terms

  • Deadlines: Stall fees must be paid by the deadline indicated in the acceptance email. Failure to pay by this date may result in your space being released to the waiting list.


  • Presentation: Stalls must be kept tidy and safe. All stock must be kept within your allocated footprint.


  • Trading Hours: You are expected to trade for the full duration of the event (10:00 AM – 4:00 PM). Early pack-downs are not permitted as they disrupt the event atmosphere and safety.


  • Equipment: We will provide a 180 cm table and two chairs. Each participant is responsible for bringing their own tablecloths and display stands. Although power is available, we recommend bringing extension cords, as not all tables have accessible sockets.


  • Sub-letting: You may not sub-let or share your stall with another business unless specifically agreed upon in writing beforehand.


3. Workshop & Talk Terms

  • Financial Model: There is no upfront fee to host a workshop. Witchy Scot retains 30% of each ticket sold via our website. The remaining 70% will be paid to the host within 7 working days after the event concludes.


  • Ticketing: All workshop tickets will be managed through the Witchy Scot website or our Eventbrite page to ensure consistent communication and accessibility for attendees.


  • Minimum Bookings: If your workshop does not meet your specified minimum number of participants 7 days before the event, we will discuss with you whether to proceed or cancel.


  • Materials: Hosts are responsible for providing all materials unless the workshop is explicitly listed as "materials not provided."


4. Cancellations & Refunds

  • Stalls: Stall fees are non-refundable. Because we commit to venue costs and marketing based on our vendor list, we do not offer refunds once payment is made. If you cancel and we can fill your spot from our waiting list, we may offer a credit for a future event at our sole discretion.


  • Workshops: Hosts must cancel before January 24th to allow us to refund ticket holders.


  • Event Cancellation: In the unlikely event that the Fayre is cancelled due to circumstances beyond our control (e.g., venue closure, severe weather), we will offer a transfer to a new date, minus any non-recoverable admin costs.


5. Insurance & Safety

  • Liability: All stall holders and workshop hosts must have valid Public Liability Insurance (PLI). By accepting a spot, you confirm that you have adequate coverage for the duration of the event.


  • Indemnity: Witchy Scot and Leith Arches are not liable for any loss, theft, or damage to property, or for any injury sustained during the event. You are responsible for your own products, equipment, and personal belongings.


  • Waste: You are responsible for removing all your own rubbish from the venue at the end of the day.


6. Conduct & Ethos

  • Behaviour: We have a zero-tolerance policy for aggressive or discriminatory behaviour. Respect for staff, fellow vendors, and the public is mandatory.


  • Marketing: We ask that all participants help promote the event on social media. We will provide a media pack to make this easy for you!


  • Product Ethics: We champion handmade, ethical, and holistic goods. Items must accurately reflect the descriptions provided in your application.
